How to Choose a Church Management System in Kenya

A practical 2026 checklist for pastors, treasurers and church administrators: what to demand, what to ask vendors, and how to switch without disrupting your congregation.

Published 29 September 2026 · Delights Web Services

Short answer: choose a system that records M-Pesa giving automatically by member and fund, keeps membership data secure under the Data Protection Act, supports cell groups and follow-up, and is simple enough for volunteers to run. Test each with a live demo.

Disclosure: we install and support MyChurch, so we are not a neutral party. The checklist below works on any vendor, including us.

1. What a Kenyan church actually needs

RequirementWhat to look for
Member and family recordsProfiles, families, cell groups, ministries and milestones, with search that still works as the congregation grows.
M-Pesa givingPaybill or till giving recorded against the member and the fund (tithe, offering, building fund, missions), with automatic receipts and reconciliation.
Fund accountingSeparate funds, restricted giving, pledges, expenses and budgets, with reports the treasurer and board can trust.
Attendance and follow-upService and cell group attendance, first-timer follow-up and alerts for members who have been absent.
CommunicationBulk SMS, announcements and birthdays, with clear SMS costs and a mobile app or portal for members.
Data protectionMembership lists can reveal religious belief, which the Kenya Data Protection Act, 2019 treats as sensitive personal data. Look for role-based access, audit trails, consent handling and secure backups.
Roles and permissionsPastors, treasurers, cell leaders and admins see only what they need, especially individual giving.

2. Which type of system fits

ApproachBest forWatch out for
Spreadsheets and WhatsApp groupsSmall or new congregations.Scattered giving records, privacy risk, no follow-up history.
Cloud subscriptionChurches without IT volunteers.Recurring fees, where data is stored, how to export it if you leave.
Installed on your own serverChurches that want control.Someone must own backups, updates and security.
General accounting softwareTreasurer-only needs. No members, cell groups or giving by member.

3. 10 questions to ask every vendor

  1. Can you show a live M-Pesa test payment recorded against the right member and fund, with a receipt?
  2. How are payments from non-members, wrong account numbers or reversals handled?
  3. Can members get their own giving statements?
  4. Who can see individual giving, and is access logged?
  5. Can we export all our data in a usable format if we leave?
  6. What are the SMS costs and how do we top up?
  7. What training and support do volunteers and the office get, and in what hours?
  8. Can you give references from two Kenyan churches of our size?
  9. How do you support multiple branches or church plants?
  10. What happens to our data if your company stops operating?

4. Switching without disruption

  • Start at the beginning of a month or financial year.
  • Import members, remove duplicates and confirm families and cell groups.
  • Set up funds and a clear paybill account rule, such as member number, before telling the congregation.
  • Train the treasurer and cell leaders first.
  • Run the old and new records in parallel for a month, then retire the old one.

Frequently asked questions

What should a church management system include?

Member and family records, cell groups, M-Pesa giving by member and fund, fund accounting, attendance, SMS communication and role-based access. Extras like event registration and volunteer rotas matter only if you will use them.

Can M-Pesa tithes be tracked per member?

Yes, when payments come through a paybill or till that confirms each transaction to the system and the member number is used as the account reference. Ask the vendor to demonstrate a live test payment.

Is it safe to store church membership data online?

It can be, if the system has role-based access, audit trails, encrypted backups and clear data-location terms. The Data Protection Act, 2019 treats religious belief as sensitive, so ask how the vendor protects it.

Can one system handle several branches?

Many can, with per-branch members, giving and reports plus a consolidated view. Confirm this in a demo using your own branch structure.

Do we need internet all the time?

Cloud systems need a connection; installed systems can keep working locally. Choose based on your connectivity and who will manage backups.
