How to Choose a Hospital Management System in Kenya (2026 Buyer's Guide)

Short answer: choose a system that covers the whole patient journey (registration, OPD, IPD, pharmacy, lab and billing), meets current SHA and Digital Health Agency requirements, protects patient data, and comes from a vendor that keeps up with regulatory change.

Check current rules: Regulation is moving. As of September 2026, SHA has been requiring contracted providers to use a certified HMIS that integrates with national digital health systems, and compliance deadlines have been extended more than once. Confirm the current position with SHA and the Digital Health Agency before you sign.

4. Switching without disruption

Roll out in phases rather than all at once, for example registration and billing first, then pharmacy, lab and inpatient.
Migrate and verify patient records before go-live.
Train staff shift by shift and keep downtime forms ready.
Run in parallel for a defined period in each department.
Assign one owner for data quality and one for vendor liaison.

What should a hospital management system include?
