How to Choose a School Management System in Kenya

A practical 2026 checklist for principals, bursars and school owners: what to demand, what to ask vendors, and how to switch without disrupting a term.

Short answer: choose a system that reconciles M-Pesa fees automatically, produces CBC-aligned report cards, protects learner data under the Data Protection Act, and comes with local support you can reach. Test all four with a live demo, not a brochure.

3. Ten questions to ask every vendor

  1. Can you show a live M-Pesa test payment reaching the right student account and generating a receipt?
  2. How are duplicate, wrong-account and reversed payments handled?
  3. Can you produce a CBC report card for my grade level today, and who updates it when requirements change?
  4. What is the total cost in year one: setup, training, per-student fees, SMS bundles, support and upgrades?
  5. Where is our data stored, who can access it, and how often is it backed up?
  6. Can we export all our data in a usable format if we leave?
  7. Who provides support, in what hours, and what is the response time in writing?
  8. Can you give two Kenyan schools of our size as references?
  9. How do you handle teacher and bursar training?
  10. What happens to the system if your company stops operating?

4. Switching without disrupting a term

  • Start at the beginning of a term, after fee balances are final.
  • Migrate learner records and opening balances, then check a sample of accounts against your books.
  • Run old and new systems in parallel for a few weeks.
  • Train the bursar and class teachers first, then announce the new payment instructions to parents.
  • Keep one person accountable for data quality during the first term.

Frequently asked questions

What should a school management system in Kenya include?

At minimum: fee structures and M-Pesa collection with automatic reconciliation, student records, attendance, exams with CBC-aligned reports, parent communication by SMS or portal, and role-based access. Library, transport and boarding modules matter only if you need them.

Can a school system reconcile M-Pesa fees automatically?

Yes, when payments come through a paybill or till that confirms each transaction to the system. If parents use the admission number as the account number, each payment can be matched to the right student and a receipt sent immediately. Ask the vendor to demonstrate this with a live test payment.

Does the system need to support the CBC?

Yes. Look for learning areas, performance levels and report cards that match the CBC format your school uses, and ask how the vendor updates them when the Ministry of Education changes requirements.

Should a school choose cloud or installed software?

Cloud suits schools without IT staff because backups and updates are handled for you, but it needs reliable internet. Installed software gives more control and works during outages, but the school must manage servers and backups. Ask who owns the backups in either case.

When is the best time to switch systems?

At the start of a term, after fee balances are finalised. Migrate opening balances, run the old and new systems in parallel for a few weeks, and train the bursar and class teachers before parents are onboarded.

How does the Data Protection Act affect school software?

Schools handle children's personal data, which the Kenya Data Protection Act, 2019 treats with extra care. Choose a system with role-based access, audit trails, secure backups and clear rules on where data is stored and who can see it.
