A practical 2026 checklist for business owners and sales leaders: what to demand, what to ask vendors, and how to roll out a CRM your team will actually use.

4. Switching without disruption

  • Agree on pipeline stages and what counts as a qualified lead.
  • Import data and set user roles.
  • Pilot with one team for a few weeks.
  • Make the CRM the only place follow-ups are recorded, and review pipeline weekly.

Is a self-hosted CRM better than a cloud CRM?

Self-hosted gives you control over data and customisation, but you need someone to manage hosting, backups and upgrades. Hosted CRMs are easier to start but usually cost per user and store data abroad.

Can a CRM accept M-Pesa payments?

Some can, through an integration with Daraja or a payment gateway. Ask for a live test payment against an invoice.

What should I check about CRM pricing?
