How to Choose a POS System in Kenya (M-Pesa and eTIMS)

A practical 2026 checklist for shop owners, supermarkets and retail managers: what to demand, what to ask vendors, and how to switch without losing a trading day.

Short answer: choose a POS that takes M-Pesa at the till and reconciles it, issues KRA-compliant electronic tax invoices through eTIMS or TIMS, keeps stock accurate across branches, and keeps selling when the internet or power drops.
Check current rules: KRA's eTIMS is now the main electronic tax invoicing system, older ETR devices have been phased out in favour of TIMS and eTIMS, and buyers generally need valid eTIMS invoices to claim expenses. Rules change, so confirm your exact obligations and integration route with KRA or your accountant.

  4. What happens to sales and tax invoices when the internet is down?
  5. How are stock, purchases and transfers between branches handled?
  6. Can I control who gives discounts or voids sales, and is it logged?
  7. Which of my existing printers and scanners will work?
  8. What is the total year-one cost: licence, hardware, setup, training and support?
  9. What are support hours and response times in writing?
  10. Can you give references from two Kenyan retailers like mine?

4. Switching without disruption

  • Switch right after a month-end stock take.
  • Load products, prices and barcodes, and test them.
  • Send real test sales through tax invoicing before opening.
  • Train cashiers and supervisors, then go live at one branch first.
  • Run the old and new systems side by side for the first week.

Frequently asked questions

Does my POS have to be KRA-compliant?

KRA expects businesses to issue electronic tax invoices, and eTIMS is the main system. Your POS should transmit each sale as a compliant invoice, or you must issue it another approved way. Confirm your obligations with KRA or your accountant.

What is the difference between ETR, TIMS and eTIMS?

ETR devices were the older tax register regime. TIMS added real-time invoice transmission using approved devices, and eTIMS is KRA's software-based system that works through the portal, client software, mobile and system integration.

Can a POS take M-Pesa and reconcile automatically?

Yes, when the till or paybill confirms each payment to the system. Ask for a live test payment in the demo.

Will my POS work offline?

Good systems keep selling offline and sync later. Ask exactly how offline sales are invoiced and transmitted to KRA.

Can one system run several shops?

Yes, if it supports per-branch stock, transfers and consolidated reports. Test this with your own branch setup.
